How much does AI automation cost in India?
What AI automation costs in India: DIY tools, agency-built workflows or a custom agent, plus our free audit, fixed set-up fees and usage at cost.
DIY tools, agency-built workflows or a custom agent?
AI automation in India is bought at three levels. DIY tools are usually the cheapest: you pay a subscription and set up simple jobs yourself. Agency-built workflows cost more, because someone connects the tools you already use. A custom agent tends to cost the most, since it qualifies leads and takes actions across your own systems.
DIY tools include workflow builders that pass data from one app to another, and chatbot platforms with a visual editor. You pay a monthly subscription, often in tiers by features and volume. They suit simple jobs with a clear trigger, such as copying a form entry into a spreadsheet, sending a confirmation email or answering common questions from your FAQs. Your team’s time is part of the price, because someone has to build the flows, test them and fix them when a tool changes.
With agency-built workflows, a freelancer or an agency sets up the same kinds of tools for you and connects the software you already use, such as your CRM, your web forms and your email. Expect to pay for the build, sometimes with a monthly fee for support. This suits a team with a clear, repeatable process and no time to wire it up.
A custom agent holds a conversation with each lead on WhatsApp or your website. It asks your qualifying questions, writes the answers into your CRM, books a call and routes the lead by your rules. It takes the most work to set up, so it makes sense where leads arrive in volume and each one is worth chasing. Our guide to choosing a custom AI agent or an off-the-shelf chatbot compares the two in detail.
What are you paying for?
Our engagements start with a free two-week Automation audit, which ends in a prioritised plan. We then quote each build, Lead response or Operations automation, at a fixed set-up fee. Maintenance after launch is an optional monthly retainer. AI model and messaging usage is billed at cost, separate from our fees.
The Automation audit is free. We review how leads reach you and how fast they get a reply, list the manual tasks that fill your team’s week, and check your tools and data. You get a plan that ranks what to automate first.
Lead response is a WhatsApp, web chat or voice agent. It answers and qualifies leads, books calls or visits and routes each lead into your CRM.
Operations automation includes everything in Lead response, plus several workflows across sales and operations, internal tools and integrations.
Maintenance is a monthly retainer you can add after launch. We review conversations, tune the agent, fix anything a tool change breaks, give priority support and send a monthly report. Without it, the automation runs as built in your accounts, and we quote any later changes.
Whichever you choose, one lead owns your automations, and your team signs off every flow before it goes live.
What makes automation cost more or less?
Scope usually sets the price more than the AI does. Each extra channel, workflow, integration, language or qualification rule adds build and testing time, and higher volume adds usage. One agent on one channel, writing to one CRM in one language, sits at the low end. Several workflows across many systems sit at the high end.
| Driver | Lower cost | Higher cost |
|---|---|---|
| Channels | One channel, such as WhatsApp or web chat. | Several channels, such as WhatsApp plus phone calls through a voice agent, each with its own set-up and rules. |
| Number of workflows | One workflow, such as replying to and qualifying new leads. | Several workflows across sales and operations, such as follow-up sequences, CRM clean-up and internal reports. |
| CRM and integrations | A major CRM with a ready-made connector, or a spreadsheet. | A custom integration with your own system through its API, or several systems kept in step. |
| Qualification rules | A few fixed questions and a simple hot-or-not rule. | Scoring, routing to the right person by project, location or team member, and checks against existing CRM records. |
| Languages | One language. | Several languages, such as English, Hindi and a mix of the two, each tested on real conversations. |
| Volume | A few conversations a day. | A large, steady flow of conversations every day. |
Volume moves your usage bill from month to month. The other rows set the scope, and with it the set-up fee.
Larger projects don’t have to wait for everything. We phase them so the first automations ship early. A single lead qualification agent usually goes live in four to six weeks, including testing on real conversations.
What do AI and WhatsApp usage cost?
Usage is what the AI provider and Meta charge for the messages the agent handles, and it rises with volume. AI providers bill for the text their models read and write, measured in tokens. Meta charges for each WhatsApp message your business sends. Neither has a fixed monthly price.
A token is a short piece of text, often part of a word. Each reply uses tokens for the lead’s message, the conversation so far, the approved information the agent answers from and the reply itself. Longer conversations and longer instructions cost more per reply. More capable models often charge more per token than smaller ones, and a simple task may not need the largest model.
Meta’s rates depend on the type of message, such as marketing or utility, and on the country of the number you send to. Meta usually doesn’t charge for messages leads send you, and some of your messages can be free, such as those sent within a set window after a lead contacts you from a click-to-WhatsApp ad. Meta updates its rates from time to time, so check Meta’s WhatsApp pricing page for the current figures.
The number of conversations you expect each month, and how long they run, decide most of the usage bill. A voice agent also pays by the minute for the phone line and for turning speech into text and back. Count both before you compare quotes, and ask every supplier whether usage is included in their price or billed on top.
What does a typical project cost?
A single Lead response agent costs ₹75,000–₹2,00,000 to set up, and Operations automation ₹2,00,000–₹6,00,000, depending on the workflows and systems involved. Optional maintenance runs at ₹10,000–₹40,000 a month, and AI and messaging usage comes on top. We fix the price once the audit has shown your channels, integrations and volume.
Where you land within a range depends on the drivers in the table above. One agent on one channel and one CRM is a smaller scope than several workflows with custom integrations.
Clients in India are quoted in rupees, with GST added. UAE businesses are quoted in AED, and a single Lead response agent there starts at AED 3,999 to set up.
How do you work out whether it pays back?
Spread the set-up fee over a year, add monthly usage and any maintenance, and set that monthly cost against two gains: the hours your team stops spending on manual tasks, and the leads you no longer lose to slow replies, valued at the profit a closed deal brings you. If the gains are larger, it pays back.
Work it out for a typical month, in four steps:
- Hours saved. List the manual tasks the automation takes over and estimate the hours each one takes a month. Multiply the total by what an hour of your team’s time costs you.
- Leads recovered. Count the enquiries each month that go unanswered or wait hours for a reply. Multiply that number by your close rate, then by the gross margin on an average deal. Use the margin rather than the sale price, since you still pay to deliver each deal.
- Monthly cost. Divide the set-up fee by 12, then add your expected usage and any maintenance retainer.
- Compare. Set the value of the hours saved plus the recovered profit against the monthly cost.
Be strict about the leads you count as recovered. Some slow-reply leads were never going to buy, so count only the ones your sales team would have chased. The audit’s review of your lead flow and response times, and its list of manual tasks, give you most of these inputs.
